Supporter profiles

To engage with group supporters, it is important you are familiar with how supporter profiles work.

This section focuses on:

  • How to search for an individual supporter
  • Sorting supporters by first name, last name, last contacted, level of engagement and tag filters
  • Knowing your way around a supporter profile
  • Updating supporter details, including email and phone details, background notes, tags and levels of engagement
  • Logging contact with a supporter
  • Removing a supporter from a group

Searching for an individual supporter

  1. Go to the summary page for your group by navigating to your group via the left-hand navigation in SupporterBase (Supporter Groups > Supporter Groups > YOUR GROUP NAME).
  2. You can find the search function at the top right of your group page, under the group information and tag filters.
  3. Click on the word “search” and type the name of the person you are searching for, then press ‘Enter’ on your keyboard. You can type the supporter’s first, last or any of their names. You do need to have the spelling right.
  4. Scroll down to see all the search results - a list of profiles.

Sorting supporters by first name, last name, last contacted, level of engagement, tag filters and city/suburb

At the top of the list of supporters in your group, and in addition to the search bar, you can sort supporters according to a series of attributes, to help you better visualise who is in your group, and their relationship with the group.

You can:

  • Sort by first name, last name and last contacted.
  • Filter by level of engagement. For example, you may want to view only those most group members identified as most committed.
  • Filter by tags. For example, you may want to view all supporters who are tagged as having attended a certain event.
  • Filter by City/suburb.

Knowing your way around a supporter profile

Every supporter in your group will have their own personal profile on your group page. You can use this profile to see further detail abotu the supporter, including:

  • The supporter’s name is at the top left.
  • The supporter's location.
  • The ‘Event RSVPs count’ is the number of events the person has RSVPd to.
  • On the right hand side are the ‘3 most recent contacts’. This tells you when they were last contacted and how.
  • Along the top there are buttons for contacting the person, logging the contact, logging an RSVP and removing the person from the group.

Updating supporter details, including email and phone details, tag filters, levels of engagement, and background notes

  • Phone numbers and email addresses. Please note that only admins can edit supporter phone numbers and email addresses. Admins will see a small edit icon in the shape of a pencil next to these details, which they can click on to make any edits. This icon will not appear if you are logged in as a captain or vice-captain. If you are a captain or vice-captain that needs to update supporter contact details, you will need to request help from your designated admin to do this.
  • Background note. The ‘Background note’ is for any brief notes needed to help group leaders understand who this person is or how they take part in the group. This is particularly useful to look at before you have a conversation with someone. All users can update this using the pencil-shaped edit icon.
  • Levels of engagement and tag filters. Only admins and captains can update the level of engagement and tag filters for a supporter, using the pencil-shaped edit icon next to those details.

Logging contact with a supporter

To better manage your supporter engagement, you will want to log all individual contact you have with your supporters.

You can do this via the Log contact or RSVP button at the top-right of a supporter’s profile (pictured - note there are also opportunities to log contact as part of call lists, and record RSVPs from within call lists, email and SMS threads).

When logging contact, you can:

  1. Choose the type of contact from the drop-down menu (ie phone call, email, SMS), the status of the contact (ie missed call);
  2. Make notes about the contact int he free-text section
  3. At the same time, you can confirm whether the supporter RSVPd to an event as part of the contact, and select that event form the drop-down.
  4. Update the suppproter's contact preferences.

Removing a supporter from your group

From time to time you may need to remove supporters from your group, for example if they have asked to be removed.

To do so, click the Remove from group button at the top-right of the supporter profile (pictured below). Please note only admins and captains can do this, while requests from vice-captains to remove a supporter will be sent as an automated email to the designated point person (admin or captain) for their approval.

Please note that by clicking Remove from group, the supporter will remain in your organization’s nation but have exclusion tags added, so that they will no longer appear in the SupporterBase group and will therefore no longer be contactable by group leaders.
