Call Lists
Call lists are a handy and efficient way of calling multiple supporters at once. For example, you might want to follow-up with all RSVPs to an upcoming event, or call around to all group members associated with a higher level of engagement to discuss further volunteer opportunities or upcoming actions.
Admins, captains and vice-captains can:
- Create and edit call lists
- Add supporters to those call lists, individually by name, or in bulk, based on filters, level of engagement or event RSVP status
- Move seamlessly from one call to the next
- Log the details of contact for each call
- Filter supporters on your call list by contact status (ie “Successfully contacted” or “Not yet contacted”)
- Split call lists into multiple parts, to divide calls among different leaders
- Using parameters to prevent supporters from being called too often
Creating and editing call lists
To create a new call list:
- Navigate to the supporter group you want to create the call list for (Supporter Groups > Supporter Groups via the left-hand side navigation, then select your group from the page that appears).
- From your group’s main page, click on the Call Lists button.
- You will see a popup which displays all current call lists. You can view any of these by selecting the ‘eye’ icon to the right-hand side.
- To create a new call list, choose the Add Call List option at the top of the popup.
- Give the call list a name and, optionally, a description.
- Set any required exclusion parameters to ensure supporters are not called multiple times over a short period, by determining the minimum number of hours the system should wait between substantive contacts.
- Note: a substantive contact is defined as anyone who has been marked as having a "meaninful interaction" or as having stated they were "not interested" in contact, either via NationBuilder, SupporterBase or another platform where that data is stored in NationBuilder.
- Those settings will then ensure supporters are skipped from the list and not called if they have already been contacted within X hours.
- You’re done. Next, you’ll want to add some supporters to your call list.
Adding supporters to call lists
- To add supporters to your list, you will first need to navigate to the appropriate list as per the instructions outlined in Creating and editing call lists.
- Next, from within the appropriate call list, select the Add Supporters to this List option.
- A popup will appear, giving you the option to Add supporters by….
- Name
- Filters: This lets you add all group supporters with a specific tag filter.
- Levels of engagement.
- RSVP to group events.
- Click the Add to call list button at the bottom of the popup.
- That’s it. You can keep adding more supporters to the call list at any time by repeating the steps above.
Calling supporters using a call list and logging the contact
- To get started making calls to all supporters on a call list, click the green Start calling this list button
- You will then receive a phone call to your mobile number. Once you answer, you will hear an automated message, before being patched through to the first supporter on the call list (don’t worry, you won’t be charged personally! Phone charges are arranged with your organisation via their SupporterBase subscription). To can update your mobile number by navigating to the 'Update Profile' section in the left-hand navigation, under your personal profile.
- Once you have finished your call, you will be prompted to log the contact via the pop-up. You can record whether the call was answered, confirm the supporter’s RSVP details for a related event, and make notes on the call in the free text section.
- Before moving onto the next call on the list, please make sure you either leave blank or tick the box asking whether the supporter was successfully contacted.
- Anyone successfully contacted via the call list will have a green tick mark displayed on their profile, and they will not be called again via the list.
Filter supporters on your call list by contact status
To view which supporters on your call list have been contacted, you can use the filter located at the top right-hand corner of the list of supporters.
Via that filter, simply choose between “All”, “Successfully contacted” or “Not yet contacted”. Please note that, currently, filtering by contact status in this way and then starting to call supporters will not only call people that match your filter. The tool will start calling all people on the list again.
Splitting call lists
Sometimes you may want to divide up your calling work between multiple leaders.
To do this:
- Navigate to an existing call list or create a new one (as per the above instructions).
- Click the “Split this into separate call lists” button.
- Choose the number of equal parts you would like to divide the list into. For example, if you have three leaders that will be sharing the calling duties, you would select “3” equal parts.
- You have now created some sublists for your call list. To view and start making calls from these sublists, from within the master call list, click on the Show sublists button.
